Case Study: Accounting System for Philippine Orthopedic Institute

Background

The Philippine Orthopedic Institute, Inc., is the first orthopedic private practice group in the country, patterned after group practices in the U.S.

The Institute has achieved a milestone in providing quality orthopedic care. Established in 1987, the Institute provides treatment and services to patients of all ages and from all backgrounds: from expatriates to professional athletes, from industrial health care plans to the charity patients of the Makati Health Program.

The Challenge

The Philippine Orthopedic Institute (“POI”) was faced with the challenge of developing a system in which time consuming manual print jobs as well as labor intensive data entry could be automated. Users who work with the billing, inventory, and accounting processes find them to be extremely time-consuming. They spend a large portion of their working hours filing and sorting papers to get the information they need to work effectively and efficiently. The organization needed to transform the way in which its workers interacted with the accounting system so it could deliver the highest efficiency to both employees and its patients. POI management charged Marichu Bisuna, Certified Accountant, with finding a solution to the problem.

POI had turned to four different companies already for an accounting system that meet their specific needs but all of them failed to deliver. There are partially delivered modules, but since it didn’t covered the whole process, employees tend to prefer back to the paper process.

Finally, POI turned to Cerquit Solutions, where they discussed every detailed requirement they need for an accounting system and explained the whole workflow process.  Cerquit excelled at coordinating with POI to deliver exactly what they needed. The Cerquit Accounting Suite is also easy to learn and use.

The Solution

The development was divided into three major modules – Billing, Inventory, and Accounting.  These modules are accessible depending on user access for security. The suite comes with the following features:

  • Provides an easy-to-use solution for handling business accounting. From doing product inventory and billing customers to handling disbursements and tracking accounts, the look and feel of Accounting Suite helps make managing finances simple.
  • Access to modules is secured by user authentication and is limited by user types.
  • Supports standard inventory workflow from requisition to purchase order and/or requisition to job issue.
  • Generate and print reports.
  • Built-in help system.

The Benefit

With the implementation of Cerquit Accounting Suite, POI has moved to paperless transactions resulting in efficient billing, faster processing of purchase requests, and accurate accounting data and reports. POI’s workers can do a better job of focusing on what is most important - delivering exceptional health care to our patients.
